Overview

We are seeking for a Legal Secretary to join our team of 10 people within the Global Legal and Compliance Organization, reporting to the CCR General Counsel Legal.

Responsibilities

  • Work under direct supervision to provide assistance in one or more disciplines within Legal (e.g. Compliance, Contracts, General Legal, ITC, etc.);
  • Respond to basic to fairly complex email and phone inquiries regarding legal policies, procedures, programs, etc.
  • Gather, verifies and processes legal documentation;
  • Sort and files correspondence relating to litigation (pleadings, court forms, reports, etc.);
    Assists with preparing contracts involving leases, licenses, purchases, sales
  • real estate, employment, insurance, and other matters;
  • Organize and maintains law libraries, documents, and case files; 
  • Process and analyse invoices from outside counsel and other vendors and ensure all invoices are captured;
  • Manage department and individual professional schedules, as necessary;
  • Provide budget analysis, reporting and forecasting support to the department;
  • Generate and maintain data to develop financial forecasts and to analyse budget variances;
  • Draft, review and revise written and electronic correspondence in both English and Dutch and a third language is very welcome;
  • General support on organizing and follow up of legal and compliance trainings  Manage/monitore the Legal and Compliance pages on the CCR, internet pages in coordination of the Marcomm department;
  • Draft, review and revise reports and PowerPoint presentations;
  • Organise, arrange and support meetings for the Legal and Compliance team as well as extended meetings (including teleconferences and web meetings) and events;
  • Coordinate procurement of office supplies. 

Qualifications

  • At least 3 years of general administrative support for a professional staff;
  • Good knowledge of Dutch and English;
  • Organization, including personal and workspace/office environment;
  • Time management, including the ability to effectively handle a variety of topics;
  • Ability to take direction and respond to changing priorities;
  • Exceptional knowledge and skill with Microsoft Office, including Outlook, Excel, Word and Power Point;
  • Excellent communication skills, including ability to prepare and proofread executive presentations;
  • Comfortable and willingness to become proficient with new IT systems Must be fluent (active and passive) in both English and Dutch.
  • Willingness to learn and become proficient with for example Workday, Navex, and other management systems within the Legal and Compliance department;
  • Willingness for business travel.
