Overview

Carrier Commercial Refrigeration, a leader in refrigeration solutions, is seeking a highly motivated and detail-oriented Project Coordinator to support the execution of commercial refrigeration projects across North America. This role provides an exciting opportunity for individuals eager to grow in a high-visibility position with significant upward career progression. The Project Coordinator will assist in managing timelines, budgets, resources, and communications, ensuring projects are completed successfully, on time, and within scope. The successful candidate will collaborate with cross-functional teams, from engineering and sales to procurement and installation, gaining broad exposure and opportunities for career advancement.

Responsibilities

Project Planning & Coordination:

  • Assist in the development of comprehensive project plans, including timelines, resource allocation, and task assignments, to ensure timely and efficient project delivery;
  • Coordinate with internal teams (engineering, procurement, sales, and operations) and external stakeholders (clients, contractors, vendors) to ensure all project objectives are clearly understood and met;
  • Monitor project schedules and track progress, ensuring that key milestones are achieved and risks are mitigated.

Communication & Collaboration:

  • Serve as a primary point of contact for cross-functional teams and stakeholders, ensuring consistent communication and alignment across departments;
  • Organize and lead regular project status meetings, providing updates to key stakeholders and reporting on project progress, challenges, and solutions;
  • Facilitate clear, effective communication between internal teams, contractors, and customers to ensure all parties are aligned on project goals and expectations;
  • Work with customers and partners to ensure all timelines are met.

Documentation & Reporting:

  • Maintain detailed project documentation, including status reports, risk registers, meeting minutes, and project logs, ensuring all documentation is up to date and accessible;
  • Prepare and distribute weekly and monthly project reports to senior management, highlighting key performance metrics, risks, and any necessary corrective actions;
  • Track and document changes in project scope, schedules, and costs to ensure timely approval and to prevent scope creep.

Budget & Resource Management:

  • Assist in the preparation and monitoring of project budgets, tracking costs against approved budgets, and identifying any potential financial risks;
  • Work closely with procurement and finance teams to ensure timely purchase orders, invoicing, and budget reconciliation;
  • Ensure appropriate allocation of resources, coordinating with team leads to secure necessary personnel, equipment, and materials for successful project execution.

Risk Management & Problem Solving:

  • Identify potential project risks and challenges, developing contingency plans to mitigate these risks in coordination with project management;
  • Assist in the resolution of project issues, conflicts, or delays by collaborating with stakeholders and providing solutions to keep the project on track;
  • Conduct post-project evaluations to identify lessons learned and areas for improvement in future projects.

Client & Stakeholder Relations:

  • Build strong relationships with clients and stakeholders, ensuring their expectations are managed and met throughout the project lifecycle;
  • Ensure client satisfaction by addressing their concerns, providing regular updates, and ensuring any issues are resolved in a timely and professional manner;
  • Assist in the handover of completed projects, ensuring that all deliverables are met, and post-installation support is arranged where necessary.

Qualifications

Education: Bachelor’s degree in business, engineering, project management, or a related field.

 

Experience:

  • 2+ years of experience in project coordination, project management, or a related role
  • Experience in the commercial refrigeration or HVAC industry is preferred

Technical Skills:

  • Proficiency in project management tools (e.g., MS Project, Monday.com, Smartsheet, or similar platforms);
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint);
  • Ability to read and interpret technical documents, project plans, and schedules;
  • Experience with ERP and CRM systems is an advantage.

Soft Skills:

  • Highly detail-oriented: Ability to manage multiple tasks with a keen eye for detail and accuracy;
  • Self-motivated and proactive: Demonstrates a high level of initiative and ownership in driving tasks forward;
  • Strong communication skills: Ability to communicate effectively with team members at all levels, from on-site staff to senior executives;

  • Organizational skills: Strong ability to manage time, prioritize tasks, and handle tight deadlines in a fast-paced environment.

Other:

  • Willingness to travel occasionally to project sites across North America;
  • Valid driver’s license.

  Preferred Qualifications:

  • Project Management Professional (PMP) certification or equivalent is highly preferred;
  • Experience working in the refrigeration or HVAC industry, particularly with large-scale commercial projects;
  • Familiarity with sustainability initiatives and energy-efficient refrigeration technologies.
